Emails are an essential element of online communication, but a professional touch can go a long way. Adding a signature in your Gmail messages allows you to include important contact information, links to your website or social network profiles, and even a personalized greeting.

This step-by-step guide will help you create and add a signature to your Gmail account, ensuring that your emails make a lasting and professional impression.

    Gmail Signature & Its Importance

The text that appears as a footer after Gmail messages and serves as your email signature is typically your contact information or professional greetings. It usually includes name, designation, company name, contact details, image and social links etc.

There are several reasons for adding it to an email, but three main reasons are mentioned here:

    Makes You Easily Recognizable

If your signature includes your email address, phone number, website information, and other details, it will be more noticeable when your recipients forward your email. People would need to go through a lengthy email trail to get those involved’s names and email addresses.

    Serves as a Visitor Card

A Gmail signature provides essential information, similar to a visit or business card. When you use a Gmail signature, your business contacts, friends, family, coaches, competitors, customers, and other recipients can contact you.

    Provides Authenticity

Your self-identity, business, and personal relationships can all suffer if your email is labeled as spam. Ensuring your recipients that your email is accurate and authentic, a signature adds value to it.

Steps to Create a New Gmail Signature on Windows

Here are some steps you should follow to create and add signature to Gmail on Windows:

    1. Open the Chrome browser and go to “https://mail.google.com/” in the address section or search bar.

    2. Select “See all settings” from the drop-down menu bar by following the upper right corner, clicking the icon, and clicking again.

    3. The “Signature” section can be found by scrolling down under the “General” tab.

    4. After choosing “+ Create New” and entering your signature’s internal name, click “Create.”

    5. Type your signature into the designated box. Here, you can use standard HTML formatting, like bold and italics.

    6. Once your signature is perfect, select “Signature Defaults” for the time it will appear. Choose your signature or “No signature” from the dropdown menu.

    7. Click “Save Changes” when you reach the screen’s bottom.

    8. That is all there is! You can now automatically sign emails sent from Gmail by adding your signature at the end of the message.
